General Information

Our Road Trips are a driving event visiting great places using fantastic roads with like-minded people.

These Road Trips are for driving pleasure only and is definitely not a race. You must not compete in any manner with other participants and betting of any kind is also totally forbidden. 

Road etiquette is at the heart of our journeys meaning that you must apply the utmost courtesy to all other participants, drive safely in accordance with all the applicable road laws and uphold the safety of other road users and members of the public.

If one of our organisers, employees, or other participants has seen and reported that you are driving recklessly or not complying with all applicable laws you will be removed and prohibited from taking any further part in the event.

Your participation in the event and any payment of the entry fee shall be deemed to be your acceptance of these Terms and Conditions. Any questions regarding these Terms and Conditions or if you require any further clarification you should contact us by email at info@vint-tro.com.

If you do not agree with any part of these Terms and Conditions you should not participate in the event.

Age to Participate?

You have to be 18 years old on the first day of the event.

License and Passport

You must hold a valid and unrestricted driver’s license that will be accepted in any country and a valid passport together with the relevant visa(s) for each country visited on the event during the route. It is your responsibility to ensure you are in possession of the correct documents you may require.

Insurance

You must obtain and maintain appropriate insurance cover to participate in the event.

Compulsory insurance includes, without limitation:

  1. Third-Party Motor Liability
  2. Travel Insurance that includes medical expenses and personal liability

We suggest that you disclose to your insurers that you are participating in the event. If you do not have your own insurance cover you must not participate in the Event.

Please feel free to contact our partner to obtain a quote for Insurance and explain the intended purpose.

Entry Fee

The “Entry Fee” for the event is set out in three (3) tiers; 

  1. Package A – 2 Persons Per Car (hotel room share)
  2. Package B – 2 Persons Per Car (single occupancy hotel rooms)
  3. Package C – 1 Person Per Car (single occupancy hotel room)

The entry fee is based on which package you choose from the above. The entry fee is available upon request at the time of the event release date but will be available on our website.

The entry fee covers the following:

  • Hotel rooms cost *
  • Euro Channel crossing (if applicable)
  • Road trippers goody bag (contents at Vint-tro’s discretion)

Should you receive additional fees or fines resulting from you taking part in the event, these are solely your responsibility.

Any unauthorised participants who are identified as not paying the correct entry fees will be removed from the Event.

Participation in the event is only confirmed once the full entry fee has been received and confirmed by the organiser. Until such time, no places or team allocations are confirmed and any invoiced and unconfirmed spaces can and will be sold to the event organisers waiting list.

Our event fees can be paid in full at the time of the booking or by our three (3) stage payment scheme.  See below

  • Deposit Payment = 50% of the ticket value.  To be paid immediately when booked
  • 2nd Payment = 30% of the ticket value. To be paid one month later after deposit payment
  • 3rd Payment = 20% of the ticket value. To be paid one month later after the 2nd payment

* The entry fee does not include any disbursements or personal acquisitions including without limitation; fuel, telephone bills, fines of any sort, or damage caused at any venue visited or, other expenses including courier/postal charges relating to sending luggage, room service charges while staying in any of the hotels or venues.

Refunds

If you have to withdraw from the event for any reason you should notify us immediately.

You agree from the date Vint-tro receives your deposit and entry fee any or part of the entry fee you have paid will only be refundable if Vint-tro can sell your ticket via its waiting list. 

For the avoidance of doubt, if Vint-tro is unable to re-sell your ticket no refund will be made. Should Vint-tro incur any admin fees, this will be deducted from the refund of the resold ticket.

If the event is canceled or rescheduled by means out of the organisers control, such as a pandemic or force majeure, we will not make refunds.

Any refund issued will be at the discretion of Vint-tro Ltd and will not include any costs incurred on your behalf as detailed above.

Vint-tro reserves the right to amend the advertised route at any stage. All entrants will be notified of any changes in this instance.

Transferal of Entry Fee

Once the entry fee has been paid this fee is non-transferable to any other future events or as any part payment of any future events held by the organiser.

If you want to transfer your place to another individual, you must inform us by providing two months’ written notice ahead of the event. The Organiser reserves the right to approve the proposed transferee

Responsibility and Conduct

Vint-tro (the organiser) accepts no responsibility or liability for (a) the consequences of you being refused entry/exit to or from any country visited en route or (b) any damage that may have been caused to your vehicle or damage to or loss of contents in the vehicle.

You must provide vehicle registration plates for both the front and rear of your vehicle. Failure to do so may prevent access to a country. It is your responsibility to ensure that you and your vehicle are compliant with locally applicable laws along the route (including limit weight, width, lighting, and visibility). All drivers must carry their full driving license, vehicle registration documents that are relevant to the country of registration, proof of vehicle tax and insurance, and any necessary certificates and/or consents for use of the vehicle on public roads within the country of registration (where relevant).

All information that Vint-tro requests from you about your own personal details and those of your vehicle must be accurate and complete in all material respects. You warrant to Vint-tro that all information you provide is true and accurate.

You must conduct yourself appropriately at all times and abide by all the rules of the hotels and other venues used during the event.

When ‘checking in’ to hotels a credit card must be provided as a security guarantee against any incidental damage that has been caused to the hotel property. Any such costs incurred must be paid for by you before ‘checking out’ or such costs may be automatically debited from your credit card in accordance with the hotel’s policies.

You must not drive if your ability to do so is in any way compromised by Intoxicating substances such as alcohol or drugs, illness, lack of adequate rest, or any other condition.

Indemnity

It is a condition of your entry to the event that you agree to indemnify the organiser, its directors, officers, employees, agents, and consultants against any claims, lawsuits, and causes of action whatsoever or howsoever arising and brought against the organiser by any third party as a result of your action or participation in the event, including without limitation, your violation of any applicable laws or laws or regulations or your breach of these Terms and Conditions.

Violation of Terms

If you violate any of these terms and conditions or refuse to follow the instructions given by the event organiser or any of its employees or nominees, you may be prohibited from further participation in Vint-tro events.

Right of Refusal

The organiser reserves the right to refuse your entry or participation before and during the event at any time and for any reason whatsoever.

In case of the cancellation of the event or the refusal to allow you to participate any refunds will be at the organisers discretion. 

Image Rights and Filming

By participating in the event you consent to; 

  • Being photographed and to be included in any filming of footage documenting the event.
  • Hereby waive any rights of publicity or privacy and grant the organiser a royalty-free license to utilise and exploit your appearance in the event in any manner and media.
  • Agree that the organiser has the sole discretion to use or refuse to use any photographs or footage in which you appear. 
  • Use photographs or footage you appear in can be edited at the organiser’s sole discretion.
  • Consent to the use of your name, image, likeness, voice, and biographical material about you in connection with any footage. 
  • You assign from and against any claims that you have or may have for invasion of privacy, defamation, or any other cause of action arising out of the production, distribution, broadcast, or exhibition of photographs, footage, or any promotional materials.

You are entitled to take photographs and film footage of your participation in the event for non-commercial purposes only (that is for personal and private use only).

You are not entitled to reproduce or use photographs or footage of the event on any website for a commercial purpose, in any printed media or matter, or any television program without first obtaining the prior written consent of Vint-tro.

In all circumstances (both commercial and non-commercial) you agree not to photograph, record, reproduce, publicise digitally or in printed media any road traffic accidents, which may occur during the event.

All media shared on any Vint-tro associated platforms, including social networks, chat rooms, websites, and any press and message services automatically provides Vint-tro with the rights to use such media.

Change of Terms

The organiser reserves the right to change these terms and conditions from time to time and will notify you if an event is scheduled, booked, and paid for.

English Law

English law governs these terms and conditions, and you hereby irrevocably submit to the exclusive jurisdiction of the courts of England and Wales about any disputes arising from these terms

Can I Still Enter Vint-tro Road Trips If I Am Not In The UK?

Yes, Vint-tro welcomes anybody who has a love of cars and motorcycles and enjoys road trips with like-minded petrolheads.

Yes, you do. For us to keep our tickets at great prices we charge our sponsors to display their brand logos on your cars. All decals must be fitted by the time we leave on day one.

Vint-tro does not accept any responsibility of the fitting, and removal of the decals. If you have any concerns that they could course damage to your vehicle's paintwork, or any coating such as ceramic or, protection film known as PPF / PPS then you should not participate in the event.

A maximum of two people per team, however, if you decide to go it alone that’s up to you.

Classic, retro to modern performance and supercars. Motorcycles are also welcome.

Tickets for motorcycles will be charged at the same rates as car entries

Mainly on social networks and local press companies who cover our road trips. We’ll have a dedicated photographer for all events.

All media shared on any Vint-tro associated platforms, including social networks, chat rooms, websites, and any press and message services automatically provides Vint-tro with the rights to use such media. See Image Rights and Filming.

Vint-tro only books hotels where your ride is considered to be safe mostly within the hotel premises or the hotel’s recommended facility. We can not however guarantee the safety of your vehicle and ultimately these are left at the owner’s risk.
